Terms and Conditions of Use of the Digital Channel
EXPLORANDEAN PERU TRAVEL AGENCY, also known as the Company in this document, wants you to enjoy your vacation in Peru to the fullest, which is why we recommend that you carefully read and obey the instructions of your sales agent. EXPLORANDEAN PERU TRAVEL AGENCY is considered one of the safest agencies in Cusco.
Please read the following conditions carefully, as this is your contract with EXPLORANDEAN PERU TRAVEL AGENCY. By booking a trip with us, you agree to be bound by these Terms and Conditions, which describe, among other things, our payment, cancellation policies and certain liability limitations at the time of making your reservation.
Payment Options and Reservation Confirmation
At EXPLORANDEAN PERU TRAVEL AGENCY, we offer you two options for reservation payments:
- Reservations with a 50% payment of the total amount, which you can make through our website or through our sales executives.
- Reservations with a 30% payment + 5% transaction commission of the total amount, also available on our website or with our sales executives*.
*The remaining amount can be paid up to one day before starting your scheduled tour, either at our offices or through the payment methods we offer (detailed later).
Important: If you have not made any of these payments, EXPLORANDEAN PERU TRAVEL AGENCY will not consider your reservation as CONFIRMED and will not be obligated to provide you with the requested tourist service.
Accepted Currencies
At EXPLORANDEAN PERU TRAVEL AGENCY, we currently accept two types of currency:
- Soles (PEN)
- US Dollars (USD)
We are committed to providing you with one of the best experiences, which includes being totally transparent with our travelers. Therefore, we offer an exchange rate updated to the day. Soon, we will also accept payments in any type of currency you wish.
Accepted Payment Methods
We accept the following payment methods:
- Bank transfer to our personal account.
- PayPal, with a 6% transaction surcharge.
- YAPE digital wallet.
- Cash at our offices.
Note: In accordance with the provisions of SUNAT, only properly banked transactions (i.e., those that are already in the bank) or cash payments can be invoiced. Therefore, receipts or invoices will be issued once the money has been registered in our account.

- Payment in US Dollars: To confirm the service, a prepayment of at least 30% of the total amount is required.
- Full Payment: It is important to pay the 100% of the package once you arrive in the city of Cusco.

Cancellation Policies
For services such as transfers and tours, cancellation fees will apply as follows:

- Train tickets: Cancellation has a 100% penalty.
- Hotels: Cancellation policies vary according to each hotel.
Cancellation fees will be confirmed by your assigned account executive once the reservation is finalized, including the confirmation period.
Note: In case of not showing up for any of the tours, it will be categorized as a no-show, therefore no refund will be due. Inca Trail packages are subject to specific cancellation charges, which will be indicated by your executive at the time of confirmation.
The Contract
The contract is between EXPLORANDEAN PERU TRAVEL AGENCY (also known as the company) and the client, who is the person traveling or attempting to travel on a tour operated by the company. By making a reservation by phone, through the website, email or fax, you accept and are bound by these Terms and Conditions. These constitute the entire agreement between the Company and the Client regarding the subject matter herein, and will be a binding agreement. There is no verbal or written representation, warranty, warranty agreement, prior agreement, description of services, or conditions or any promise of refund not expressed herein. The service to be provided is the tour mentioned in the reservation confirmation.
These conditions only apply to the services in our program and not to international and national flights, which are subject to the conditions imposed by the airlines.
Securing Your Reservation
To guarantee the reservation, EXPLORANDEAN PERU TRAVEL AGENCY requires a completed reservation form (either from our website or the one sent by us with your quote), along with payment of the necessary deposit. The prudent time to make your reservation is 30 days before your trip to Peru. A reservation is accepted and becomes final only from the date your deposit is received, and at that time a contract exists. EXPLORANDEAN PERU TRAVEL AGENCY reserves the right to reject any reservation at its discretion.
Client Data
To confirm and guarantee the organization of the trip, the client must provide all their identity data with the initial payment or, at the latest, 30 days before the start of the trip. Client details include:
- Passport number.
- Copy of passport data.
- Medical form (if applicable).
- Full name.
- Date of birth.
- International flight information.
- Nationality.
- Contact or mobile phone number for emergencies.
Final Payment and Surcharges
In order for the company to confirm and guarantee the organization of your trip, the client must provide all required data with their final payment at the start of the tour.
Surcharges: To avoid surcharges on your vacation, we recommend making your reservation in advance and not changing hotels at the last minute.
Changes to the Reservation
- Changes before 30 days: An administration fee of 50 USD per person will be charged if a confirmed reservation is changed or transferred to a different departure date or to another tour.
- Changes within 30 days: All changes will be treated as cancellations and will be subject to the corresponding charges.
If a client is unable to travel and informs us with at least 20 days’ notice, under circumstances that EXPLORANDEAN PERU TRAVEL AGENCY considers reasonable, the reservation may be transferred to another suitable person, or the money will be refunded less 20% (10% for transfers and 10% for administrative expenses). The refund will be made within less than 15 days.
Cancellation Policy – Right of Withdrawal
Confirmed reservations will have a cancellation policy under the following terms:
- Cancellations or changes to paid reservations have a penalty of 50% of the total package value and will be processed within a maximum period of 60 calendar days after the request is received.
- Cancellations or changes between 8 and 1 day(s) before the departure date have a penalty of 100% of the total package value.
- Airline tickets: Are non-refundable. In case of cancellation, the flights will remain in the name of the reservation holders, who can use the tickets within a period of 1 year, paying the corresponding penalties and fare changes.
Complaints
If you have a complaint about any of the tour arrangements, it is a condition of the contract that you report it to our local representative at that time. If you do not present your complaint at that time, you deny us the opportunity to investigate and rectify the problem, therefore EXPLORANDEAN PERU TRAVEL AGENCY will not be able to accept any responsibility. If you have a dispute with us and it cannot be resolved, please write to us within 28 days of your return to continue the investigation.
Travel and Cancellation Insurance
Travel insurance is highly recommended for all clients. It should cover personal injury, medical expenses, repatriation expenses, evacuation, cancellation, and curtailment. It is our policy to verify the validity and coverage of your insurance policy, and we reserve the right to deny transportation to anyone whose insurance does not meet these criteria. If you decide not to purchase travel insurance, you will be required to sign a waiver form in which you accept that insurance was recommended but declined, and that in the event of needing to change or cancel your trip, or if you incur medical expenses, you will be responsible for all additional costs.
Medical Form
For insurance purposes, all clients are required to complete our medical form, which must be signed and dated by a practicing physician (in case of pre-existing conditions) and sent to us no later than 15 days before the start of your trip.
Financial Security
EXPLORANDEAN PERU TRAVEL AGENCY is a travel agency accredited by the Ministry of Tourism and registered as a corporation in the Ministries of the Peruvian tourism office. We comply with current European standards regarding customer money protection.
Client Responsibility
The client agrees to accept the authority and decisions of the employees, tour leaders and agents of EXPLORANDEAN PERU TRAVEL AGENCY during their vacation. If, in the opinion of these persons, the health or conduct of a client at any time, before or after departure, appears to endanger the progress, safety, comfort or tranquility of the tour, the client may be excluded from the entirety or part of the tour.
Clients must be in possession of their respective identity documents and are responsible for carrying a valid passport, visa (if applicable) and the required vaccination certificates for the entirety of their trip. Your passport must be valid for at least 6 months after the return date.
Our Responsibilities
Reservations are accepted on the understanding that clients appreciate the potential risks inherent in adventure travel and that they undertake the visits, excursions or expeditions of their own free will. It is also important to understand that, even with the most meticulous arrangements, unforeseen events can arise.
The company undertakes to provide its services with the necessary diligence so that the entire trip goes perfectly. We will strive to serve you in the best possible way.
EXPLORANDEAN PERU TRAVEL AGENCY assumes no responsibility for force majeure, weather or natural phenomena that may occur before or during the trip, or for any eventuality that may make the trip uncomfortable or difficult, or for any delay or obstruction of your journey in any way. We do not guarantee the total or partial execution of the services that the Company has committed to provide, as these may be affected by the aforementioned factors.
Flights and Delays
We cannot accept any responsibility for cancellations or delays in your flights if these are due to adverse weather conditions, airline rescheduling, airport authorities, air traffic controller action, mechanical failure or industrial action. Our company will strive to resolve your travel itinerary so that no inconvenience affects your experience.
The client must understand and be flexible if, due to flight delays, problems cannot be resolved.
Child Policy
In all our programs, unless otherwise indicated, the maximum age for a child is 11 years and 11 months. Those over 12 years are considered adults and will be subject to adult rates.
Last Minute Reservations
For all reservations made within 10 days of departure, an additional fee of 50 USD will apply. This fee covers our additional costs for hotel providers, train tickets, bus tickets and operational expenses.
Final Declaration
I hereby declare that I have read and understood the Terms and Conditions indicated above, in addition to the conditions of sale as indicated by the company on the website, brochure or form provided, and that I am fully aware that my signature confirms this declaration.
